Terms of Service

These terms of service ("Terms") govern your use of Notice Board, including the notice-board.io website, the Notice Board Head Office dashboard, and the Reporter Free progressive web app (together, "the Service"). By accessing or using the Service, you agree to be bound by these Terms.
Notice Board is operated by Notice Board Ltd, a company registered in England and Wales ("we", "us", "Notice Board"). If you are using the Service on behalf of an organisation, "you" refers to both you personally and the organisation, and you represent that you have authority to bind the organisation to these Terms.

1. The service
1.1 What we provide
Notice Board provides a software-as-a-service platform for workplace record-keeping, including the logging of facility maintenance tasks, RIDDOR-compliant accident records, vehicle incidents, and supplier issues. The Service includes:
- Reporter Free: a progressive web app for offline record capture at individual sites, available free of charge with no account required.
- Free Account: a web dashboard allowing one site to sync records to Notice Board at no charge.
- Head Office plans (Starter, Professional, Enterprise): paid subscription tiers providing multi-site dashboards, export functions, and optional add-ons.
1.2 Reporter Free
Reporter Free is provided as-is, free of charge, with no service level commitment. It operates entirely within your browser's local storage. We reserve the right to modify or discontinue Reporter Free, but we will provide at least 90 days' notice before any discontinuation.
1.3 Service changes
We may add, modify, or remove features of the Service from time to time. For paid subscribers, we will give at least 30 days' notice before removing material features. We will always seek to improve the Service.
2. Your account
2.1 Account creation
To use the Notice Board dashboard, you must create an account with a valid email address. You must provide accurate information and keep it up to date. You must be at least 18 years old to create an account.
2.2 Account security
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must notify us immediately at support@notice-board.io if you believe your account has been compromised.
2.3 One account per organisation
Each Notice Board account is intended for use by a single organisation. You may add multiple user logins within your organisation under your account. Sharing account credentials with individuals outside your organisation is prohibited.
2.4 Account suspension and termination
We may suspend or terminate your account if:
- You breach these Terms
- Your subscription payment fails and is not remedied within 14 days
- We are required to do so by law
- We reasonably believe your account is being used for unlawful purposes
Where possible, we will notify you before suspension and give you an opportunity to remedy the situation.
3. Acceptable use
3.1 Permitted use
You may use the Service only for lawful purposes and in accordance with these Terms. The Service is intended for business use in the context of workplace health, safety, and facilities management.
3.2 Prohibited use
You must not:
- Use the Service to store or transmit unlawful content, including content that infringes third-party intellectual property rights
- Attempt to gain unauthorised access to any part of the Service or its underlying infrastructure
- Introduce malware, viruses, or other harmful code
- Use automated tools to scrape, extract, or misuse the Service in a way that degrades performance for other users
- Resell, sublicence, or otherwise commercialise the Service without our written consent
- Misrepresent records or create false accident or incident records with intent to deceive
- Use the Service in a way that violates any applicable law, including data protection law
3.3 Compliance with data protection law
You are responsible for ensuring that your use of Notice Board to process personal data (including RIDDOR health data) complies with UK GDPR, the Data Protection Act 2018, and any other applicable data protection legislation. This includes providing appropriate privacy notices to individuals whose data you record.
4. Subscription and billing
4.1 Paid plans
Paid Head Office plans (Starter, Professional, Enterprise) are billed on a monthly or annual basis. Prices are set out on our pricing page and may change from time to time (see section 10).
4.2 Billing via Stripe
All payments are processed by Stripe, Inc. By subscribing to a paid plan, you agree to Stripe's terms of service. We do not store your payment card details. You authorise us to charge your payment method on a recurring basis for the applicable subscription fee.
4.3 Annual billing
Annual subscriptions are charged upfront for 12 months. Annual plans receive a discount versus monthly billing. We do not offer pro-rata refunds for unused months on annual subscriptions, except at our discretion in exceptional circumstances.
4.4 Taxes
All prices are exclusive of VAT unless otherwise stated. VAT will be added at the prevailing UK rate where applicable.
4.5 Cancellation
You may cancel your subscription at any time from within your account settings or by contacting us. Cancellation takes effect at the end of the current billing period. You will retain access to paid features until that date.
4.6 Payment failure
If a payment fails, we will notify you and attempt to retry payment. If payment remains outstanding after 14 days, we may downgrade your account to the Free Account tier or suspend access until payment is resolved.
4.7 Refunds
We do not offer refunds for partial months on monthly subscriptions. Refund requests for annual subscriptions will be considered on a case-by-case basis. Please contact billing@notice-board.io.
5. Data and privacy
5.1 Your data
You retain ownership of all record data and content you store in Notice Board. We do not claim any rights over your data beyond what is necessary to provide the Service.
5.2 Data processing
Where you use Notice Board to process personal data about third parties (such as injured employees or witnesses), you are the data controller and we act as your data processor. Our Privacy Policy sets out how we handle personal data. For Enterprise customers requiring a formal Data Processing Agreement (DPA), please contact us.
5.3 Data export
You can export your data at any time in JSON or Excel format using the dashboard export functions. On cancellation, you have 30 days to export your data before it is deleted from our systems.
5.4 Data deletion
Following account cancellation, your data will be permanently deleted within 60 days, except where we are required to retain it by law.
5.5 Reporter Free data
Data stored in the Reporter Free PWA without a connected account is stored solely on the user's device. We have no access to this data. Deletion of this data is the user's responsibility (via browser site data settings).
6. Availability and support
6.1 Availability
We aim to maintain high availability of the Notice Board dashboard and sync services. However, we do not guarantee 100% uptime. Planned maintenance will be communicated in advance where possible. Unplanned outages will be communicated via our status page.
Reporter Free works fully offline and is not affected by server availability.
6.2 Support
Support is provided via email at support@notice-board.io. We aim to respond to all support requests within one working day (Monday to Friday, 9am–5pm UK time). Enterprise plans include priority support with a defined response SLA.
6.3 No guarantee of suitability
The Service is provided as a general-purpose workplace logging tool. While we have designed it to support RIDDOR compliance, it is your responsibility to ensure that your use of the Service meets all applicable legal and regulatory obligations. We do not provide legal or compliance advice.
7. Intellectual property
7.1 Our IP
The Service, including all software, design, documentation, and content created by Notice Board, is owned by Notice Board Ltd and protected by copyright and other intellectual property laws. These Terms do not grant you any rights to our intellectual property beyond the limited licence to use the Service as described herein.
7.2 Your licence to use the Service
Subject to these Terms and payment of applicable fees, we grant you a non-exclusive, non-transferable, revocable licence to access and use the Service for your internal business purposes during the subscription term.
7.3 Feedback
If you provide feedback, suggestions, or ideas about the Service, you grant us a perpetual, irrevocable, royalty-free licence to use that feedback for any purpose, including improving the Service, without obligation to you.
8. Limitation of liability
8.1 Exclusions
To the maximum extent permitted by law, Notice Board Ltd is not liable for:
- Loss of data where that loss results from your failure to maintain adequate backups or from your breach of these Terms
- Indirect, consequential, or special damages, including lost profits or loss of business
- Regulatory fines or penalties arising from your failure to comply with applicable law
- Any loss arising from your reliance on the Service for compliance with legal obligations without independent professional advice
- Service outages beyond our reasonable control (force majeure), including power failures, internet outages, or acts of government
8.2 Cap on liability
Our total aggregate liability to you for any claim arising from these Terms or your use of the Service shall not exceed the greater of (a) the total fees paid by you in the 12 months preceding the event giving rise to the claim, or (b) £500.
8.3 Consumer rights
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law. If you are a consumer (and not using the Service in the course of a business), your statutory consumer rights are not affected.
9. Governing law
These Terms are governed by the law of England and Wales. Any dispute arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, except that if you are a consumer resident in Scotland or Northern Ireland, you may also bring proceedings in the courts of your country of residence.
10. Changes to these terms
We may update these Terms from time to time. We will notify you of material changes by email at least 30 days before they take effect. Your continued use of the Service after that date constitutes acceptance of the updated Terms.
If you do not agree to the updated Terms, you must stop using the Service and cancel your subscription before the changes take effect. If you cancel within the 30-day notice period on a paid annual plan, we will refund the unused months pro-rata.
Minor changes (such as clarifications that do not affect your rights) may be made without notice. The "Last updated" date at the top of this page reflects the most recent version.
